Event Settings

Each event has its own configuration that controls dates, calendar integration, and other event-specific options. These settings are accessed from the event detail view in the admin area.

Core Details

Setting Description
Event Name The full name of the event
Abbreviated Name A short code (e.g. "FIAS25") used in compact displays
Logo An event-specific logo shown on the dashboard and event switcher
Venue Name The name of the event venue
Country The country where the event is held
Airport Radius When attendees enter their arrival/departure details, the destination airport dropdown only shows airports within this radius of the venue. This reduces data entry mistakes by filtering out irrelevant airports

Times and Dates

Setting Description
Start Date The first day of the event
Duration Length of the event in days
Time Zone The time zone for the event
Show Open / Close Time The daily hours during which on-site meetings can be requested (see note below)
Travel Days Before / After Number of days before and after the event during which travel can be booked. This restricts people to choosing sensible arrival and departure dates
Offsite Meeting Days Before / After External meetings (e.g. at hotels or restaurants) often take place on days bordering the main event. This sets how many days either side are available

Warning

The Open / Close Time setting directly restricts when users can request on-site meetings. If these times are set too narrowly, users will not be able to create meetings outside those hours. Make sure these reflect the full window during which meetings may take place at your venue.

Calendar Integration (Outlook)

These settings control how Ordinate integrates with Outlook and other calendar applications for this event.

Setting Description
Outlook Integration Enabled Turn calendar integration on or off for this event
Staff Default Whether staff members receive calendar entries by default
Minimum Status Only meetings that have reached at least this status will generate calendar entries
Unallocated Meeting Location The text shown as the location in calendar entries when a meeting has no location assigned yet
Calendar Main Text A template for the body text of calendar entries. Can include merge fields such as a direct link to the meeting in Ordinate
