Sending Messages

You can send emails and text messages to individuals or groups directly from within Ordinate. Messages are available wherever people are listed in the system.

Where You Can Send Messages From

The send message option appears in many places across Ordinate:

  • People list — select one or more people, then use the context menu
  • Person profile — send directly to the person you are viewing
  • Meeting view — send to participants, the host, or the organiser
  • Journey view — send to passengers or the driver
  • User Management — send to any user from the settings area

Sending an Email

When you choose to send an email, a form opens with:

  • Recipients — the people you selected before opening the form
  • From — choose between your own name or a generic name (e.g. "GE Aerospace at Paris Air Show")
  • Reply-To — defaults to the event's reply-to address, but can be changed
  • Subject and Body — the body uses a rich text editor for formatting

You can also load a pre-built message template using the Templates button — see Message Templates.

Sending a Text Message

For quick, short messages, choose Send Text Message. This opens a simpler form with just the recipients and a plain text body (no formatting).

The message will be delivered via the Ordinate app or SMS, depending on the recipient's own preferences.

Sending to Multiple People

There are several ways to send a message to more than one person at once:

  • Multi-select — on any people list, use Shift-Click or Ctrl-Click to select multiple people, then choose Send Message from the context menu
  • From a meeting or journey — select multiple participants or passengers and send
  • Bulk Message Groups — predefined groups for common recipient lists (see below)

When sending to multiple recipients, the form shows all names in the Recipients field. A tick or cross next to each name indicates whether we have a valid contact method for them (e.g. a valid email address for an email). You will be warned before sending if any recipients cannot be reached.

If the recipient list is long, the Recipients field can be expanded to see everyone. The total count is shown alongside.

Bulk Message Groups

If your organisation has set up Bulk Message Groups, an icon appears on the People list page for sending to predefined groups. These groups can be:

  • Static — a fixed list of named individuals
  • Dynamic — a query that pulls in all matching people at the time of sending (e.g. "All Staff Attendees", "Staff Attendees with Meetings Today")

When you select a group, the recipients are loaded and the standard message form opens.
