Meeting Locations (Spaces)¶
Ordinate offers a powerful way to manage your event spaces, ensuring that each meeting is organized and that no locations are double-booked. Whether you're working with conference rooms, dining tables, lounges, or off-site locations, Ordinate helps you manage and allocate spaces effectively, keeping your event running smoothly.
Meeting locations in Ordinate are designed with flexibility in mind, allowing you to:
- Track the availability of each space and avoid conflicts.
- Organize spaces by zones (physical groupings) or location groups (for permissions and visibility control).
- Handle special cases like external meetings that happen outside your primary event space.
Each location has its own set of properties, such as capacity and a designated colour. These colours help visualize the location within the calendar view and give you quick visual cues about specific spaces.
Key Features for Managing Locations:
- Zones & Floorplans: Organize your spaces by zones and display them on a floorplan to easily visualize which rooms or areas are available. Zones help group locations that are physically close together, while floorplans provide a graphical representation of your event space.
- Location Groups: Fine-tune which team members can view and access specific spaces. Location groups allow you to manage permissions and visibility, making it easier to control who can book or see particular locations.
- Allocating Meetings: Manage meetings that have not yet been assigned a location and allocate them efficiently. Whether handled manually or automatically, this section covers how to reserve spaces based on availability and organizational needs.
- External Meetings: When meetings take place off-site, Ordinate lets you capture their details and integrate them into the overall event calendar, allowing you to have a complete view of attendee commitments.
- Managing Multi-Space Meetings (Overflow): For larger meetings or events that require additional space, Ordinate allows you to extend/overflow a meeting to more than one room or area.
