User Event Permissions

Each user can be granted access to all events or to specific events only. This controls which events appear when they log in and switch events.

All Events vs Selected Events

When creating or editing a user, you choose one of two options:

  • All events — the user can access every event in the system, including future events as they are created. This is typical for administrators and core team members.
  • Selected events only — the user can only access the events you explicitly grant. This is useful for temporary staff, external suppliers, or users who only work on specific events.

Managing Event Access

To change which events a user can access:

  1. Open the user's account from Settings > General > Users, or via their person profile.
  2. In the user details, find the Event Access setting.
  3. If set to selected events, you will see a list of available events. Grant or remove access as needed.

Per-Event Role Overrides

When a user has access to multiple events, they may need different permissions for different events. Ordinate supports this through per-event role overrides — see Customise User Roles Per Event.

Info

When a user logs in, they are taken to their active event. If their active event is in the past and a future event is available, they will be prompted to choose an event. Administrators can set the active event for users in bulk — useful for preparing for a new event.
